Customer Communication Closed-Loop Model

A model showing that communication does not end when a message is referred, but when the cycle is completed and the sender is informed of the available outcome.

The idea

One of the most frustrating experiences is sending a message and never knowing what happened to it. The closed-loop model sees communication as a complete cycle: receipt, understanding, referral, follow-up, outcome, and then a response to the person who sent the message.

The stages

  • Receive the message.
  • Verify what is being requested.
  • Identify the correct path.
  • Follow up.
  • Record the outcome.
  • Complete the final communication.
  • Document and learn.

Human value

Even when the outcome is not what a person hoped for, clarity is better than uncertainty. Telling someone what happened and what they can do next protects trust and reduces unnecessary repeat contact.
